Family ID in IRIS
The Family ID feature allows users to search and track referral activity associated with a family profile based on a unique ID that is easily accessible at all stages of the referral process. This system-generated ID, a random combination of numbers and letters, supports organizational workflows and referral tracking.
Family ID Location
The Family ID is visible on all screens relevant to the referral process and related Family Profile tracking.
New Referral Screen
Users can search for a Family Profile by name, date of birth, or Family ID. When searching for an existing Family Profile, the Family ID will be at the end of the name and birth date of the searched profile.
When a new Family Profile is created on this screen, the Family ID will populate in the search bar after the profile is saved.
Referral Details Screen
The Family ID is included in the Referral Details of a submitted referral.
All Families Screen
Users can search for an existing Family Profile by its associated Family ID in the All Families search bar. Searching for a family profile here will only return results if your organization has previously engaged in a referral associated with that profile.
Family Profile Page
The Family ID can also be found on the associated Family Profile.
Family ID In Exports
Referral History and Referral Details
The Referral History and Referral Details exports (available on the All Referrals screen) contain three numerical identifiers automatically assigned by the system: the Family ID, the System ID, and the Referral ID.
The System ID (previously known as Client ID) is similar to the Family ID in that it is also a system-generated number assigned to the family, but it is not visible or accessible outside of the exports. The Referral ID is a unique number created by the system when a referral is created.
All Families
The All Families export (available to Data Managers on the All Families screen) contains the Family ID and System ID.
Family ID Use Cases
The Family ID offers organizations flexibility in how they manage family referral information. Because the Family ID enables masked referrals, a family can be entered into the system under a pseudonym, with tracking conducted using the Family ID. The visibility of the Family ID also provides a secure mechanism for cross-referencing or tracking family information between IRIS and other systems without using personally identifiable information (PII) such as names or birthdates. Additionally, this creates a secure method for discussing a referral or family profile internally or with IRIS Support without disclosing PII.
